Introduction to the structure
Created in 1978, the Institut d'art contemporain/Frac Rhône-Alpes has historically carried out the missions assigned to a regional fund for contemporary art (Frac) as well as a center for contemporary art. It carries out missions combining support for artists and creation with access to contemporary art for all audiences. This dual vocation characterizes the singular place occupied by the establishment in the French landscape of contemporary art. It has a collection (more than 2,000 works to date) which it ensures the enrichment and dissemination and develops activities of exhibitions, production of works, artist residencies, research, publishing, transmission and mediation with different audiences. It is also, thanks in particular to the dissemination of its collection, a tool at the service of the regional territory and its inhabitants. The Institut d'art contemporain/Frac Rhône-Alpes is mainly active at its site in Villeurbanne (2,750 m2, including 1,200 m2 of exhibition space) and throughout the Auvergne-RhôneAlpes region.
The IAC/Frac Rhône-Alpes benefits from the support of the Ministry of Culture (DRAC Auvergne-Rhône-Alpes), the Region Auvergne-Rhône-Alpes and the City of Villeurbanne. It is part of the network of art centres (DCA) and Frac/Fonds régionaux d'art contemporain (Platform).
position description
Under the responsibility of the director and the administrator, in direct contact with the ex situ/collection manager and the ex situ project manager, he or she ensures the monitoring of acquisitions, records the movement of works, coordinates the conservation and restoration of works and ensures the documentation of the collection. He/she also manages and monitors the documentation centre.
In this capacity, he/she is responsible for the following tasks:
Follow-up of the acquisitions of works and the constitution of the collection:
Participates in the preparation and contributes to the smooth running of technical procurement committees: receipt of applications, preparation of presentation documents, logistical organization of meetings...
Prepares, distributes and ensures the return of administrative, technical and legal documents necessary for the acquisition of works in conjunction with the administrator.
Carry out the inventory in conjunction with the stage manager ex situ and prepare the files for new acquisitions.
Prepares and ensures the sending of the annual insurance listing including new acquisitions.
Production and monitoring of the scientific documentation of the works:
Ensures the recording of files of works from the collection and their tracking on the Videomuseum database and its G-Coll reading application.
Monitors the evolution of the collections database in connection with Videomuseum.
Organizes and enriches the documentation of the collection service.
Establishes and monitors the physical and digital preservation of artists' files and work files.
Proceeds with the inventory of works files (paper and digital) and enriches the files (new shots...).
Produces the technical documents for the works in connection with the ex situ/collection stage manager.
Follows the drafting of the notices for the works in the collection.
Initiates and carries out the collection actions in collaboration with the ex situ/collection stage manager.
In connection with the communication department:
Participates in updating the website for its collection section (presentation, recent acquisitions, acquisition committee, loan applications, etc.).
Ensures the transmission of information for the proper update of the loans of works from the collection.
Monitors the update and changes in the online collections database.
Conservation - restoration in connection with the ex situ/collection steward:
Carries out regular checks of environmental conditions and carries out health monitoring.
Assess the risks related to the security and safety of collections.
Participates in the choice of construction and packaging materials for the design of packaging.
Ensures the general monitoring of the state of the works in the collection
Organizes and prepares the conservation-restoration campaigns approved by the restoration committee.
Monitors the annual conservation-restoration programme and organizes the stages of its implementation.
Develop the specifications for the consultation of suppliers and service providers, and ensure their compliance.
Monitors conservation-restoration interventions.
Records conservation operations on the collections database.
Insurance and claims:
Manages claims related to the collection and follows insurance files: declaration, quote, restoration, registration.
Ensure that insurance values are sent to partners.
Movement of the works:
Prepares and organizes monthly loan committees.
Organizes and gathers the necessary elements for the loans, deposits and transport of works related to the ex situ/ collection manager.
Writes and monitors loan and deposit agreements in collaboration with the administrator.
Records all movements and observations on the collections database.

Training:
Profile from a background in art history, museology, collections and heritage management, or equivalent
Knowledge and skills:
Very good knowledge in art history and more specifically in contemporary art history.
Knowledge in preventive conservation and restoration of contemporary art works
Knowledge of inventory procedures Proficiency in office and digital tools
Excellent interpersonal, writing, and organizational skills. Ability to work independently and in a cross-functional manner.
